Clinical Operations Specialist ( Finance & Logistics)
Key Responsibilities:
Financial Management of Clinical Trials:
Monitor study budgets and ensure timely and contract-compliant payments to investigators, sites, and vendors
Process payments, verify settlements, and oversee financial compliance
Collaborate with local vendors and prepare purchase orders for services and supplies
Coordination of Clinical Trial Logistics:
Ensure timely delivery of investigational drugs, study materials, and equipment to clinical sites
Work closely with suppliers, warehouses, and customs agencies on importation and distribution
Ensure compliance with regulations and drive process improvements in logistics
Vendor & Document Management:
Oversee local vendors handling clinical supplies storage and distribution
Prepare and review financial and logistics-related documentation
Support the team with system updates and document archiving
Training & Mentorship:
Develop training materials and actively mentor staff on processing payments to investigator sites and reporting time accurately
Necessary Qualifications and Skills:
Experience in a similar role within a pharmaceutical company or a related field
Detail-oriented and deadline-driven individual
Team player with strong organizational and communication skills, capable of collaborating with multiple stakeholders
Fluency in English and Polish
Excel expert with experience working with payment processing systems
Experience in cooperation with 3rd party provider is an advantage
